Terms and Conditions, The Big Chapter

1. Authority

I have the authority to commission this project on behalf of myself, or the person or institution named in this Agreement.

2. Third-party commissions

Where I am commissioning this project on behalf of another person or institution, I confirm they have consented to their story being captured and produced in the formats described here.

3. Participant permissions

I have obtained, or will obtain before sessions begin, written permission from any additional participants to be interviewed, photographed, audio-recorded, or video-recorded as part of this project.

4. Recording consent

I consent to guided interview sessions, photography, audio recording, and video recording as part of this project.

5. Media release

I understand that any person who appears on camera, in photographs, or in audio recordings as part of this project will be asked to sign a separate Media Release Form before their contribution is included in the final work. I agree to support The Big Chapter in obtaining these releases.

6. Accuracy

The information and materials I provide are accurate to the best of my knowledge.

7. Materials rights

I have the right to use and share all photographs, videos, documents, and other materials I submit. Where music is involved, any music I supply must be properly licensed for use in a produced work.

8. Memory and recollection

I understand that personal memories and recollections may differ and are not presented as verified historical fact unless otherwise agreed in writing.

9. Review and approval

I am responsible for reviewing and approving the final work before delivery or distribution. One client review round is included in this proposal. Additional review rounds are billed separately as stated in this Agreement.

10. Post-approval responsibility

Once I have approved the final work, responsibility for the accuracy and appropriateness of the content rests with me.

11. Timelines

I understand that project timelines depend on the timely supply of information, materials, approvals, and access to interviewees. Delays on my part may extend the agreed timeline accordingly.

12. Privacy

I understand that the story and all materials produced remain private unless I provide separate written permission for wider use or distribution.

13. File retention

Project files will be retained by The Big Chapter for 90 days after final delivery. Longer-term preservation is available through The Big Chapter Archive or by separate agreement.

14. AI assistance

I consent to The Big Chapter using AI-assisted tools for transcription, organisation, and production support. Final editorial decisions will always be made by a human storyteller.

15. Proprietary methods

The Big Chapter owns its proprietary methods and creative frameworks, including The Big Chapter Heart Method™. These do not transfer to me as part of this engagement.

16. Future use

Any future publication, licensing, or wider commercial distribution of materials produced under this Agreement will require a separate written agreement between us.

17. Promotional use (optional)

I give The Big Chapter permission to share a short trailer or snippet from this project on our website and social media to showcase our work. I understand I will be shown the specific clip before it is published and can request changes.

18. Responsibility for supplied materials

I agree to take responsibility for, and protect The Big Chapter from, any claims, costs, or disputes arising from materials, permissions, or information I have supplied.

19. Agreement

I have read and agree to the terms of this Agreement in full.
